This Privacy Policy explains how BookATruck (bookatruck.com) ("BookATruck," "we," "us") collects, uses, and protects information when you use the BookATruck platform at bookatruck.com and our carrier and broker tools (together, the "Service").
1. Information we collect
Information you provide
- Account details — your name, email, phone number, company, and password (stored only as a salted hash).
- Billing contact — the accounts-payable name, email, and address you give us so we can invoice you.
- Shipment details — pickup and delivery addresses, contacts, phone numbers, order/reference numbers, item descriptions, weights, and any notes or documents you upload.
- Documents & photos — PDFs, images, or text you upload (e.g. rate confirmations, BOLs, orders, or photos of the items being shipped) so we can auto-fill load details and show the driver what they're moving.
- Carrier compliance details — for carriers, your MC and DOT numbers, plus the operating authority, safety rating, and insurance-on-file status we retrieve about you from the FMCSA's public records.
Information collected automatically
- Location data — for carriers who enable it, real-time GPS location while a delivery is active, used to track shipments and update status.
- Electronic signature records — when you e-sign a document such as a rate confirmation, we record the name you type, the date and time, and the IP address you signed from, as proof the document was signed.
- Technical data — IP address and basic request logs, kept for security and troubleshooting.
- Local storage — we store a login token in your browser to keep you signed in. We do not use third-party advertising or tracking cookies.
2. How we use information
- Provide the Service — create loads, match carriers, quote pricing, and track deliveries.
- Show live shipment status and location to the parties involved in a load.
- Bill customers and pay carriers, and keep financial and audit records.
- Provide customer support and respond to your requests.
- Maintain security, prevent abuse, and meet legal obligations.
3. Automated document processing (AI)
When you upload a document or text to auto-fill a load, its contents are sent to our AI provider (Anthropic) solely to extract shipment details, and the result is returned to you. We do not use your shipment documents to train AI models. If your data is sensitive or regulated, avoid uploading it and enter details manually.
4. How information is shared
We share information only as needed to run the Service:
- Between parties to a load — a shipper's shipment details are shared with the providers they send it to and with the assigned carrier; status and location are shared back with the shipper. Providers bidding on a request can see what they need to price and move it.
- Service providers — companies that help us operate the platform, each only for the purpose named:
- Render — hosting and database storage.
- Anthropic — AI extraction of documents you upload (see section 3).
- Resend — delivering our email (network invitations, rate confirmations, bills of lading, invoices, and account details).
- OpenStreetMap / Nominatim — turning the addresses on a load into map coordinates.
- FMCSA (U.S. Department of Transportation) — we look up carrier MC/DOT numbers against the FMCSA's public safety records to verify operating authority and insurance.
- Capacity partners — if we assign your load to a partner carrier to haul it, we share the shipment details needed to move and track it.
- Legal — when required by law, subpoena, or other legal process, or to protect our rights, our users, or the public.
- Business transfer — if BookATruck is involved in a merger, acquisition, or sale of assets, records may transfer as part of that transaction.
We never sell or rent your personal information. We do not share it with advertisers or data brokers, we do not use it for third-party advertising, and we do not disclose it to anyone else unless you ask us to or the law requires it.
5. Data retention
We keep account and shipment records for as long as your account is active and as needed for billing, tax, legal, and audit purposes. This includes the freight documents generated for your loads — rate confirmations, bills of lading, proofs of delivery, and invoices — which we retain as business records, along with signature records for any document you e-signed. You can ask us to delete your account and associated personal data, subject to records we must retain by law.
6. Security
Passwords are stored as salted hashes, access is scoped by role, all traffic is encrypted over HTTPS, and we keep an audit log of sensitive actions. No system is perfectly secure, but we work to protect your data.
7. Your choices & rights
You can review and update your account details in the app, change your password at any time, and request access to or deletion of your personal information by contacting us. Carriers can stop sharing GPS location at any time (though this may limit tracking features).
8. Children
The Service is for business use and is not directed to anyone under 18. We do not knowingly collect information from children.
9. Changes to this policy
We may update this policy from time to time. We will post the new version here and update the date above. Continued use of the Service means you accept the updated policy.
